Setting up email in Microsoft Outlook

If you have MS Office, then you should use Outlook for your mail as it is one of the most comprehensive mail clients on the market.

We will send you three pieces of information which you will need. The email address, password and mail server address. These are the same whatever software you use to send and receive mail. The process differs depending on which version of Outlook you have. Most commonly you will have Outlook 2000, 2003 or 2007. The process is mostly the same though, when Microsoft find something that works, they are loathe to change it.

Although the wording may vary slightly, it should be straightforward and any variation will be minor.

Step 1.

 

Open Outlook. Usually in the start menu under Microsoft Office.




Step 2.

 

Open the 'Tools' menu (along the top of the screen). Select 'Email accounts' from this menu (near the bottom).




Step 3.

 

The email accounts wizard will open, giving you a step-by-step means of setting up your email accounts. Select 'Add new email account'.

You will now be asked to enter the details of the account.

       
  Server Type:  

POP3. Always POP3 with our servers.

       
  Internet E-mail Settings::  
User information    

Your name:

  This is up to you, it is simply how the email address is identified in your computer.
E-mail Address:   We will send this to you. It will be in the form of : user@yourdomain.co.uk
     
Logon Information    
Username:   This wil always be your full email address.
Password:   We will send this to you.
     
Server Information    
Incoming Mail Server   We will send this to you. It will usually be mail.yourdomain.co.uk
Outgoing Mail Server   This will be the same as the incoming mail server.



Step 4.

 

Don't click next or test settings yet. Click the 'more settings' button and then open the 'outgoing server' tab. Click the box next to, "My outgoing server (SMTP) requires authentication". Make sure it is set to "Use same settings as my incoming mail server".




Step 6.

 

Click OK and then the 'Test account settings' button. This will tell you if any of the settings are wrong. If any are incorrect, check that you have not typed any of the information incorrectly. It needs to be spelled exactly right, with all of the full stops in exactly the right place. The email address and user name will not be case sensitive, but the password will be.

Outlook will explain where any errors occurred. If there is no obvious problem which you can understand, please get in touch and we will help as much as we can in explaining what may be causing the problem.




Step 7.

 

Once the test has been successfully carried out, click 'next' and then 'finish'

You will receive a message which Outlook sent during the test (you may have one message for each time you click the test account settings button).
